How to Place an Order

Important Notes:

  • Each product in PIM is linked to a production site.
  • Production sites are linked to supplier warehouses in PIM settings.
  • The order is linked to the supplier warehouse.
  • The customer receives all products from the supplier warehouse.
  • A supplier warehouse can be configured for each tenant, which will be selected by default when placing an order from this tenant; see Managing Supplier Warehouses for more details.

Note: Access to tenant settings is available to users with the role: tenant administrator.

  • Supplier warehouses come in two types:
    • Linked to a production site;
    • Not linked to a production site.

How to Find a Product for Order

  1. Go to the Variants Catalog section of the portal.

Note: Products (product variants) are displayed in the working area of the Products Variants Catalog section as a list (by default).

  1. Configure the display of products (if necessary): to display products as cards, turn on the switch. To display products as a list, turn on the switch.
  2. Filter the desired products by category (if necessary): click on the desired category in the category list panel. The selected category will be highlighted, the button Filters (n) will show the number of applied filters, and the working area of the section will display the list of products in the selected category. To turn off the category filter, click on the active category again. To reset all filters, click on the reset button.
  3. To search for a specific product, start typing the name of the desired product in the Search field. The list of found products will be displayed in the working area of the section, and the button Filters (n) will update the number of applied filters. To reset all filters, click on the reset button.
  4. To call the filter panel, click on Filters (n). Fill in the necessary fields on the Filters panel:
    • Input field Variant Article: enter the article number of the desired product variant. As a result, the list of products in the section will display product variants with the entered articles.
    • Input field Product Article: enter the article number of the desired product. As a result, the list of products in the section will display products with the entered articles.
    • Input field Variant ID: enter the ID of the desired product variant. As a result, the list of products in the section will display the product variant with the entered ID.
    • Input field Product ID: enter the ID of the desired product. As a result, the list of products in the section will display the product with the entered ID.
    • Multi-value selection field Spare Part for Model: select one or more model values for which you want to get a list of included spare parts. In PIM, spare parts are attached to product variants; start typing the name of the variant, then select it from the list. To cancel the selection, hover over the field with the selected values, then click the cross.
    • Input field Plant Search: enter the value of the desired production site. As a result, the list of products in the section will display products with the entered production site.
    • Multi-value selection field Plant: select one or more production sites. As a result, the list of products in the section will display products with the selected production site values.
    • Multi-value selection field Brands: select one or more brands. As a result, the list of products in the section will display products with the selected brand values.
    • Multi-value selection field Families: select one or more product families. As a result, the list of products in the section will display products from the selected families.
    • Multi-value selection field Retail Status: select one or more statuses.
    • Multi-value selection field Dealer Status: select one or more statuses.
    • Switch Show Archived (off by default): to get information on previously deleted entities, turn on this switch.

The found product variants will be displayed in the working area of the section as a list. To go to the product variant or product card, click on the corresponding name for the desired product variant entry.

How to Add a Product to the Cart

  1. Find the product variant you want to add to the order.
  2. Go to the product variant card, then click Add to Cart, and select the quantity of the product.

Note: This functionality is available to users with the role: OMS Admin, Company Admin.

  1. To go to the cart, click on In Cart in the added product card or click on the cart icon next to your profile if you have already left the product card.
  2. Edit the products in the cart (if necessary), then click Proceed to Checkout. If you want to place the order at a later time, simply close the cart. The selected products will be saved in the cart, and you can return to placing the order at any time.

In the cart, for each added product variant, the following information is displayed: Product variant name. ID: product variant number in the database. Article: article number of the product variant. Supplier warehouse: supplier warehouse code. From: minimum quantity of the product in units available for order. Dealer price per unit of product, price/unit of product in the regional currency of the product. Total amount for each product in the cart considering the quantity of products of one model in the regional currency of the product. To be paid: total order amount (list of total amounts) in the regional currencies of the order.

Upon successful addition of a product to the cart, an icon will appear next to your profile indicating the number of product model types in the cart.

Managing Supplier Warehouses

How to Split Pre-Order Products by Supplier Warehouses

  1. Go to the editing mode of the desired tenant in the Administration section.

Note: Access to tenant settings is available to users with the role: tenant administrator.

  1. To split orders by supplier warehouses, turn on the switch Split Orders by Supplier Warehouses, then click Save.

When placing orders, products will be divided into sub-orders by supplier warehouses, and a separate order will be created for each sub-order.

Note: When placing an order, a user with the role OMS Admin has the option to disable the Split Orders by Supplier Warehouses option and select one warehouse for all products in the order. In this case, all pre-order products will go into one order. To do this, on the Order Placement page:

  1. Turn off the switch Split Order.
  2. In the Supplier Warehouse selection field, choose the desired warehouse.

How to Combine Pre-Order Products into One Warehouse

  1. Go to the editing mode of the desired tenant in the Administration section.

Note: Access to tenant settings is available to users with the role: tenant administrator.

  1. Turn off the switch Split Orders by Supplier Warehouses (if it was turned on).
  2. In the Default Supplier Warehouse selection field, choose the desired warehouse, then click Save.

When placing orders for this tenant, all products will be supplied from the specified supplier warehouse.

How to View Sub-Order Products

  1. Go to the cart with the selected products, then click Proceed to Checkout.

Note: This functionality is available to users with the role: OMS Admin, Company Admin.

  1. In the Order Placement form, pre-orders are grouped by supplier warehouses. To go to the desired sub-order, click on the desired sub-order item or the sub-order section below.

Note: The main sections of the Order Placement form are described in the section How to Place an Order.

In the expanded sub-order, a list of product variants in the sub-order will be displayed.

Below the list, the total number of product units and the total cost of the order in the regional currency of the product will be displayed.

How to Edit Sub-Order Products

  1. Go to the cart with the selected products, then click Proceed to Checkout.

Note: This functionality is available to users with the role: OMS Admin, Company Admin.

  1. In the Order Placement form, pre-orders are grouped by supplier warehouses. To go to the desired sub-order, click on the desired sub-order item or the sub-order section below.
  2. In the expanded sub-order, a list of product variants in the sub-order will be displayed. The interface allows:
    1. To change the quantity of products (if necessary): select the desired entry and change the value in the Quantity column cell. When changing the quantity of products, all amounts for the selected entry are automatically recalculated, and the edited values in the cart are updated.
    2. To remove products from the pre-order (if necessary): to remove selected entries, check the option at the beginning of the desired entries, then click Remove Selected Products. To confirm the operation, click Confirm, to cancel, click Cancel. To remove all products, select the option in the header of the list, then repeat the above actions with confirmation of the operation.

How to View Container Load in Sub-Order

  1. Go to the cart with the selected products, then click Proceed to Checkout.

Note: This functionality is available to users with the role: OMS Admin, Company Admin.

  1. The container load can be viewed for each sub-order. In the Order Placement form, pre-orders are grouped by supplier warehouses. To go to the desired sub-order, click on the desired sub-order item or the sub-order section below, then in the expanded section find the Loading Calculator.
  2. Click on the 40HC container card. The card displays information about the maximum weight and internal volume of the container.

Note: The modeling is conducted for a 40-foot high cube container (High Cube) — 40’HC. Calculations are based on parameters set in PIM: Store and Catalog ➔ Settings ➔ Containers. For clarification or changes to the specified parameters, contact a user with the role: PIM Admin.

In the Loading Calculator section, one or more windows will be displayed depending on the number of required containers with information on the loading of each container:

  • Total:
    • number of packages in the container;
    • cargo volume in cubic meters;
    • relative loading of the container by volume;
    • cargo weight in kilograms;
    • relative loading of the container by useful weight.
  • List of Products:
    • product name;
    • quantity of product for each entry.
  • 3D Model of the container:
    • Allows viewing the distribution of packages inside the container.
    • Allows rotating the container in three planes, zooming in (), zooming out (), and resetting the image to its original size ().

Attention: The model is for demonstration purposes, and the modeling results may differ from the actual ones.

How to Leave a Note When Placing an Order

  1. Go to the cart with the selected products, then click Proceed to Checkout.

Note: This functionality is available to users with the role: OMS Admin, Company Admin.

  1. A comment can be left in each sub-order. In the Order Placement form, pre-orders are grouped by supplier warehouses. To go to the desired sub-order, click on the desired sub-order item or the sub-order section below.
  2. Enter a comment in the Order Comment field, then return to the order placement.

After placing the order, the comment left will be displayed in the order in the Note section.

How to Place an Order

  1. Go to the cart.
  2. Edit the products in the cart (if necessary), then click Proceed to Checkout.

Note: This functionality is available to users with the role: OMS Admin, Company Admin.

  1. In the Order Placement form, in the Sub-Orders section, the following is displayed:
    1. Sub-Orders with information:
      1. Supplier warehouse code.
      2. Sequential number of the sub-order with the total number of sub-orders.
      3. Quantity: number of products in the sub-order in units.
      4. Total Cost: total cost in the regional currency of the order.
    2. Order Placement with information:
      1. Quantity: total number of products in the sub-orders in units.
      2. Total Cost: sums of sub-orders in the regional currencies of the products.
    3. A list of sub-orders with detailed information about each sub-order:

Note: Each sub-order section can be expanded for detailed review and editing of the quantity of products in the sub-order. For more details, see the section Viewing and Editing Sub-Orders.

  1. Sub-Order: sequential number of the sub-order relative to the total number of sub-orders.
  2. Supplier Warehouse: supplier warehouse code.
  3. Quantity: number of products in the sub-order in units.
  4. Total Cost: total cost of the sub-order in the regional currency of the product.
  5. To place the order in the Order Placement section, click Place Orders, to cancel, click Back.

Upon successful placement of orders, the newly created orders will be displayed in the working area of the section in the order list.
